Airport, hotel, and villa handover for luxury rentals

The handover is the single most logistics-heavy moment of a luxury rental. Done well, it disappears; done badly, it sets the tone for the whole week. Most rentals on this network use one of four modes — terminal-side at the commercial airport, FBO-side for private aviation, hotel-side once the visitor has settled in, or villa-side at a private residence. Each has a clear sweet spot.

The short answer

FBO-side for private aviation, hotel- or villa-side once you've settled in, terminal-side only when the day starts with a drive.

Hotel delivery is the default for most weeks — the car arrives the morning the visitor is ready for it, not in the haze of an airport arrival. Terminal-side handover works when the itinerary opens onto a drive from the airport (Riviera, Cernobbio from Malpensa, Champagne from CDG); it is less ideal when the visitor wants a quiet first evening. FBO handover is the strongest pattern for private aviation — the car meets the aircraft. Villa-side handover follows the same logic as hotel delivery — the car arrives at a private residence once the visitor is ready for it — and is the natural choice for estate stays around Lake Como, Ibiza, or the Riviera, subject to the residence's access and parking.

Compare

Side by side

Four handover modes, applied to the same arrival.

Option 1

Terminal-side

Commercial airport

When it works
Day starts with a drive away from the city
Wait if flight is late
Driver waits at meeting point; supplier flexes within reason
Luggage handling
Visitor handles luggage from carousel to car
Itinerary fit
Best for outbound drive days from arrival
Documents
Signed landside; copies of licence and passport
Time on the day
30-45 minutes from carousel to driving

Option 2

FBO-side

Private aviation

When it works
Private aviation, plane-side meeting
Wait if flight is late
Same — co-ordinated with the FBO
Luggage handling
Luggage moves plane → car under one roof
Itinerary fit
Best for visitors landing private and driving directly out
Documents
Signed at the FBO; otherwise identical
Time on the day
15-30 minutes plane to driving

Option 3

Hotel-side

Once checked in

When it works
Visitor wants a quiet first evening before driving
Wait if flight is late
Not applicable — handover is on the visitor's schedule
Luggage handling
Hotel staff handle luggage; cleanest experience
Itinerary fit
Best for city-led weeks with an onward drive on day 2-3
Documents
Signed hotel-side; same documents
Time on the day
20-30 minutes; can be scheduled around the day

Option 4

Villa-side

Private residence

When it works
Estate or residence stays where the car arrives at the door
Wait if flight is late
Not applicable — scheduled with the residence
Luggage handling
Residence staff handle luggage; as clean as a hotel

Decide

Best for · Not ideal for

Two short lists. The brief that fits cleanly above; the brief that would be better served another way below.

Best for

  • Private aviation arrivals at Le Bourget, Milan Malpensa, Geneva, or Cannes-Mandelieu — FBO is the cleaner answer.
  • Lake Como or Cernobbio arrivals from Milan Malpensa, where the drive is the first thing the visitor wants to do.
  • City-led Paris, Geneva, or Zurich weeks where hotel-side delivery on day two is the cleanest pattern.
  • Villa and estate stays around Lake Como, Ibiza, or the Riviera, where the car arrives at the residence once the visitor is settled.

Not ideal for

  • Single-night stays where a private transfer is faster than a handover.
  • Late-night commercial arrivals where the visitor will only sleep before any driving.
  • Cases where the visitor's hotel has no on-site parking — confirm the address can host the handover.

Operational

Confirm before booking

The operational points that shape how this brief actually runs — paperwork, supplier behaviour, and the cases that need extra lead time.

  • Terminal meeting points

Every commercial airport handover has a confirmed landside meeting point. The supplier sends the meeting point in writing 24 hours before the flight, with a fallback for terminal changes.

  • FBO handovers

FBO-side handovers are confirmed with the operator. Tail number and ETA are shared with the supplier 24 hours before; the car meets the aircraft on the ramp where local rules allow.

  • Hotel co-ordination

Hotel-side delivery depends on the hotel's parking arrangement. The supplier confirms with the hotel concierge before pickup; service-road handovers are arranged when valet zones are full.

  • Villa access and parking

Villa-side handover depends on the residence's access road and parking. Many private estates have gated or narrow approaches; the supplier confirms the address can host the handover before pickup, and arranges a nearby alternative where a longer vehicle cannot reach the door.

  • Return logistics

Return follows the same four options — airport, FBO, hotel, or villa. Note that one-way returns to a different city attract a repositioning fee.

Notes

Frequently asked

What happens if my flight is delayed?

The supplier monitors the flight number and absorbs delays within reason — typically up to two hours for commercial arrivals. Major delays trigger a written rebook of the meeting point, usually to hotel-side delivery the following morning.

How does an FBO handover actually work?

The supplier co-ordinates with the FBO operator. The car meets the aircraft on the ramp where local rules allow, or at the FBO entrance. Tail number and ETA are shared 24 hours in advance; documents are signed FBO-side.

Will the hotel actually host the handover?

Most network hotels do. The supplier co-ordinates with the concierge and confirms parking in writing before pickup. For hotels with limited valet capacity, the handover is arranged on the service road instead.

Can the car be handed over at a private villa?

Often, yes. Villa-side handover works like hotel delivery — the car arrives at the residence once the visitor is ready for it. It depends on the villa's access road and parking; the supplier confirms the address can host the handover before pickup, and arranges a nearby meeting point where a gated or narrow approach makes door-side delivery impractical.
